Bookkeeper Guide
Bookkeepers in Tare support billing, reconciliation, and administrative workflows.
This guide explains what bookkeepers can do in the app and how they access their information.
Accessing Your Account
Bookkeepers must be invited by a dispatcher.
After receiving the invite:
- Open the SMS link sent by your dispatcher
- Download the Tare app (if not installed)
- Enter your phone number
- Enter the SMS verification code (OTP)
- Select your invite and finish onboarding
Once onboarded, your access is read-only.
What a Bookkeeper Can Do
Bookkeepers have read-only visibility into company operations. Their main role is to review dispatches, RFOs, and tickets so billing and reconciliation remain accurate.
A bookkeeper can:
View the Dispatch Sheet
Bookkeepers can access the Dispatch Sheet, which provides a clear overview of all upcoming and active dispatches.
You can:
- See all dispatches assigned for the current day on the Home Page
- View customer, PO, operator, and job details
- Open individual dispatches to inspect assigned RFOs
For historical or future dispatches, you can also use the Search Page to find dispatches by:
- Date
- Customer
- PO
View Tickets & Bills
The Search Page is the central location where bookkeepers can review all tickets and RFOs.
From the Search interface, you can:
- View uploaded ticket images and bill photos
- See all RFOs across all dispatches
- Filter by customer, date, operator, PO, dispatch, and more
- Perform complex queries to match your billing workflow
- Inspect ticket history and operator submissions
This makes invoice preparation, reconciliation, and audit workflows much easier.
View Customers, POs, and Equipment
Bookkeepers can view all supporting operational data, including:
- Customer list
- PO numbers
- Equipment details (including MVI and insurance)
This ensures billing is accurate and connected to the correct job and equipment records.
Reference Data for Billing
Bookkeepers can gather operational details needed for:
- Accounting
- Billing
- Job costing
- End-of-month reconciliation
- Reporting
This visibility helps ensure invoices match actual work completed.
What a Bookkeeper Cannot Do
Bookkeepers have read-only access.
They cannot:
- Create or manage dispatches
- Accept or decline RFOs
- Upload or modify tickets and bills
- Add or edit customers, equipment, or POs
- Invite or remove employees
- Change company settings
Their role is strictly for viewing and managing financial details.
Notifications
Bookkeepers do not receive operational notifications such as:
- RFO accept/decline updates
- Subcontracting changes
- Compliance alerts
These are reserved for dispatchers and operators.

Bookkeepers cannot modify or perform operational actions inside Tare.
