Subcontractors

Subcontractors are external companies you work with by sending or receiving RFOs. They operate independently from your company but can participate in your dispatching workflow.


What Is a Subcontractor?​

A subcontractor is another company that you want to send RFOs (job requests) to.
They may already have a Tare account, or they may be completely new to the platform.

Subcontractors can interact with your jobs using:

  • The Tare mobile app, or
  • Tare on the Web (RFO-only access)

Inviting a Subcontractor​

A subcontractor can be added even if they are not on Tare yet.

⚠️ Only dispatchers can send subcontractor invitations.
Owner-operators, drivers, and bookkeepers cannot invite subcontractors.

πŸ‘‰ Owner-operators can only accept or decline invitations.
They cannot send invitations to other companies.

Key points:​

  • You can invite a subcontractor by entering their company name and phone number.
  • They do NOT need to accept the invite for you to send them RFOs.
  • You can invite them once and immediately begin sending RFOs.

When invited:

  • If they are not on Tare, they receive an SMS prompting them to download the app.
  • If they already use Tare, they receive an in-app notification about the invite.

Accepting or Declining a Subcontractor Invite​

If the subcontractor already uses Tare, they can choose to:

  • Accept the subcontract invite
  • Decline the invite

If they accept:​

  • They appear in your subcontractor list.
  • They can send you RFOs as well β€” but only if they are dispatchers.
  • Operators cannot send RFOs back.

If they decline:​

  • You cannot send them RFOs.
  • They will not appear in your active subcontractor list.

Working With Subcontractors​

Subcontractors can:

  • Receive RFOs from your company
  • Accept or decline jobs
  • Upload bills or ticket images
  • Work through the app or the web version

Subcontractors remain separate organizations but can collaborate with you securely through Tare.


How to Add & Manage Subcontractors

Below are the practical steps dispatchers and subcontractors follow inside the app.


Sending an Invitation (Dispatcher Workflow)​

Step 1 β€” Navigate to the Subcontractor Page​

Open Subcontractors from the main menu.

Step 2 β€” Add Subcontractor​

Tap Add Subcontractor.

Step 3 β€” Enter Phone Number​

Enter the subcontractor’s phone number.

  • If the subcontractor appears: tap Invite

  • If no match appears: you can create a new subcontractor entry and send an invite

Step 5 β€” Finished​

The subcontractor is added to your Accepted Subcontractors list immediately.
You can now send them RFOs even if they haven’t accepted the invite yet.

Receiving an Invitation (Subcontractor Workflow)​

Step 1 β€” Navigate to the Subcontractor Page​

Open Subcontractors in the app.

Step 2 β€” Open Incoming Invitations​

Tap Incoming Companies to view any pending invites.

Step 3 β€” Accept or Decline the Invite​

  • Accept:
    • You are added to the other company’s subcontractor list
    • They are added to your Connected Companies list
    • If you are a dispatcher, you can send them RFOs as well
  • Decline:
    • You are removed from their subcontractor list
    • They cannot send you RFOs

If you accepted, the company appears under Connected Companies.

Subcontractors allow you to extend your workforce across companies:

  • They may already exist or be invited anytime
  • You can send RFOs even before they accept the invite
  • They can onboard via SMS, the app, or the web
  • Accepted subcontractors can send you RFOs if they are dispatchers
  • Declined subcontractors cannot receive RFOs

Subcontracting makes it easy to collaborate across multiple companies while keeping data and roles clearly separated.
