Employees

Employees are users who work directly for your company. In Tare, an employee can be either a Driver or a Bookkeeper, each with different responsibilities and permissions.


Types of Employees

Driver / Operator

Drivers receive and complete work assigned by the dispatcher.

A driver can:

  • Receive RFOs (jobs)
  • Accept or decline RFOs
  • Upload bills or ticket images after accepting a job
  • View assigned equipment details (like insurance or MVI dates)

A driver cannot:

  • Remove bills or tickets
  • Create dispatches
  • Add equipment or customers
  • View other employees’ work

Only the root dispatcher can remove employee-submitted tickets.


Bookkeeper (Read-Only)

Bookkeepers support billing and administration.

A bookkeeper can:

  • View dispatches
  • View tickets
  • View customer, PO, and equipment info
  • Export or reference data for accounting

A bookkeeper cannot:

  • Accept or decline RFOs
  • Create dispatches
  • Modify tickets or bills
  • Manage employees or company settings

Adding an Employee (Dispatcher Workflow)

Dispatchers can add new employees directly from the Employee List page.

Step 1 — Open the Employee Page

Navigate to Employees → Add Employee.

Step 2 — Enter Employee Details

Provide:

  • Phone Number
  • First & Last Name
  • Employee Type
    • Driver
    • Bookkeeper

Handle Existing Account Conflicts

If the phone number already belongs to a Tare user outside your company, you may see:

“This user has already created an account and cannot be invited.”

If this occurs, contact Tare Support to resolve the account association.

Step 3 — Employee Receives an Invite

After submission:

Accepting an Invite (Employee Workflow)

Once an employee installs the app:

Step 1 — Sign In

The employee:

  1. Opens the Tare app
  2. Enters their phone number
  3. Enters the OTP sent via SMS

Step 2 — Select the Invite

Employees will see any pending invites associated with their phone number.

They can:

  • Select the invite
  • Confirm joining your company

Step 3 — Dispatcher Notification

Once accepted:

  • The dispatcher is notified
  • The employee immediately gains access based on their role

Drivers will see their RFOs;
Bookkeepers will see tickets, dispatches, and data relevant to billing.


Removing and Restoring Employees

Dispatchers can:

  • Remove an employee if they no longer work for the company

  • Restore a previously removed employee at any time

Restoring an employee preserves their historical data and reconnects them to the company without requiring a new invite.

  • Drivers handle assigned work and upload bills
  • Bookkeepers support billing and reporting
  • Dispatchers manage all employees and can remove or restore accounts
  • Only dispatchers can remove tickets or manage company-wide settings
  • Employees must accept an invite before gaining access
